Time cards and the payroll export

The Time page shows one pay period: what needs review, then everyone’s time card. Use ‹ Previous period and Current period to move between periods.

Needs review

Punches the office should look at are listed first, newest days on top:

Every correction needs a reason, and times are entered as hours and minutes, like 15:30. A correction never erases the original punch: it adds a new one, and both stay in the record.

Time cards

Cards has a row for each person with Regular and OT hours, the card’s status (Open, Submitted or Approved) and a line for each job. Click a name to see the card’s days and punches.

Crew members submit their own card from the field app’s Me tab, from the last day of the pay period.

Approve

Click Approve on each job line. Admins and Supervisors approve every line; Managers approve the lines for their own jobs. Nobody approves their own time. The card shows Approved when every line is.

A line can’t be approved while a punch has no job (“A punch has no job. Assign one first.”) or a shift is still open (“Fix the open shift first.”). A correction made after approval clears it, and the card says so; approve it again.

The payroll export

Admins and Supervisors see Payroll export on the Time page.

  1. Approve every card first. Only approved cards are exported, and the page lists anyone who isn’t approved yet.
  2. Click Download CSV. The file is named for the pay period.
  3. Or click Print summary for a printable page. If nothing opens, allow pop-ups for the console.

The CSV has the columns Person, Workweek starting, Job, Regular hours and Overtime hours: a row per person, workweek and job, then a Workweek total row and a Period total row for each person. Hours have two decimals, and overtime is split by workweek, as the Time page shows it. Key them into your payroll system.

Exporting marks each card as exported. If a card changes afterwards, it shows Changed since export, so you know to update payroll.
